1. Your Right to Deletion

You can request deletion of your personal data and Vivid360 account at any time. This page explains what gets deleted, what we are required to retain, how long the process takes, and how to submit a request. We honour deletion rights under UAE Federal Decree-Law No. 45 of 2021 on the Protection of Personal Data and the EU General Data Protection Regulation (GDPR) where applicable.

2. Who Can Request Deletion

  • Account holders:individuals with an active or closed Vivid360 account
  • Tenant administrators:on behalf of their organisation, for tenant-level data
  • Authorised representatives:with documented authority (e.g. legal guardian, executor)
  • Prospects and contacts:individuals whose data we collected through demo requests, forms, or marketing channels even without a registered account

3. How to Submit a Deletion Request

To request deletion of your personal data, choose any of the following methods:

  • Email:send a request from the email address associated with your account to info@vivid360.io with the subject line Data Deletion Request
  • In-product:tenant administrators can initiate deletion from Settings → Privacy → Delete Account inside the Vivid360 dashboard
  • Postal mail:Vivid360 (GoStride Ventures), Dubai, United Arab Emirates

Please include the following so we can locate and verify your records:

  • Full name on the account
  • Registered email address and, if known, tenant or company name
  • A short description of what you would like deleted (entire account, specific records, or contact data only)
  • Your relationship to the data (account holder, administrator, authorised representative)

4. Identity Verification

To protect your data, we verify the identity of every requester before deletion. Verification typically involves confirming the request from the registered email address, a one-time code sent to your verified phone, or, for high-risk deletions, government-issued ID. We never delete data based on a request from an unverified channel.

5. What Gets Deleted

When a deletion request is approved, we remove or irreversibly anonymise:

  • Profile and contact details (name, email, phone, address, job title, profile photo)
  • Login credentials, session tokens, API keys, and multi-factor authentication secrets
  • User preferences, notification settings, saved views, and dashboards
  • Uploaded files, attachments, and documents owned by the account
  • Activity history, comments, internal notes, and chat messages authored by you
  • Marketing-consent records and tracking identifiers (cookies, analytics IDs)
  • Search indices, caches, and full-text indexes referencing your personal data

6. What We Retain (and Why)

Some records are required by law or by legitimate business interest and are retained even after deletion. In these cases personal identifiers are anonymised so the records cannot be traced back to you, while the underlying business data is preserved:

  • Financial records:invoices, payments, journal entries, tax filings, and audit trails are retained for the period required by the applicable jurisdiction (UAE: 5 years, Saudi Arabia: 5 years, India: 8 years, USA: 7 years, UK: 6 years, Germany and France: 10 years)
  • Audit and security logs:hash-chained audit logs are retained for compliance and fraud investigation; personal identifiers are replaced with anonymous tokens
  • Anti-fraud and sanctions records:retained to meet our AML/KYC obligations
  • Active legal holds:if your data is subject to litigation or a regulatory investigation, deletion is paused until the hold is lifted
  • Aggregated analytics:anonymised, non-identifying statistics may be retained for performance and product improvement

7. Timeline

  • Acknowledgement:within 3 business days of receiving your request
  • Verification:within 7 business days of acknowledgement
  • Completion:within 30 days of a verified request, in line with GDPR Article 17 and UAE data protection law
  • Backups:residual copies in encrypted backups are overwritten within 90 days of the primary deletion
  • Confirmation:we send a written confirmation to your registered email when deletion is complete

8. Account Closure vs. Data Deletion

Closing an account is not the same as deleting data. A closed account is deactivated but data remains available for reactivation for 12 months. A data-deletion request goes further and removes or anonymises the underlying personal data within the timeframe described in Section 7. If you want both, please state this in your request.

9. Third-Party Services

Where Vivid360 uses third-party processors (for example, Google Analytics 4, Microsoft Clarity, payment gateways, email and SMS providers, cloud storage), we forward your deletion request to the relevant processor and confirm completion. Some third parties have their own retention rules that may extend beyond ours; in those cases we provide you with the contact details to follow up directly.

10. Tenant and Multi-User Accounts

If you are an end user inside a tenant managed by your employer or another organisation, that organisation is the data controller for the workspace data. We will action your personal-data deletion request, but content you contributed to shared records (such as journal entries, sales orders, support tickets) may be retained by the tenant. We will notify the tenant administrator and anonymise your authorship references where appropriate.

11. Refusal or Partial Deletion

In limited circumstances we may refuse a request or complete it only partially. Reasons include unverified identity, statutory retention obligations, ongoing legal proceedings, or where deletion would impact the rights of other users. If we refuse or partially comply, we explain the reason in writing and provide guidance on how to escalate the decision, including your right to lodge a complaint with the UAE Data Office or your local data protection authority.

12. Cost

Data deletion requests are free. We may charge a reasonable fee only if a request is manifestly unfounded, repetitive, or excessive, in line with applicable data protection law.
